BELOIT JANESVILLE SYMPHONY
December 1, 2007
Newsletter
for Board of Directors
Hello Everyone –
Welcome to the Board-members–only part of our website. I told Sally I wanted to be the first person to post a message, and so here is the Board Newsletter for December.
I hope all of you had a pleasant Thanksgiving.
New Office
The staff moved into the new office this weekend. It is really a luxury to have so much space, to have enough phones, computer lines that don’t interfere with the phone lines, and a location that is easier for people to find. (Of course, you know how moves go. Don’t be discouraged if it takes a little while for everything to be in place and functioning.)
The new phone number is: 313-1200. If you forget the new number, just call the old phone number, which most of us may know from memory, 363-2554, and which is in the phonebook. The recording will tell you the new office number.
Hurray for the staff pitching in and doing the move in the middle of the first snowstorm of the season!
Board Vacancies
As we discussed at the November board meeting, there are some people who are going off the board.
Claudette – cannot continue on the board – she has been a member for nine years. We really appreciate all you do for the symphony, Claudette. Thank you!
Tammy – does not wish to continue on the board. It has not been possible for her to get to the meetings for some time.
Kayla and Gary – both have served one term, and would be eligible to continue. They actively participate in committees and use their knowledge and abilities willingly for the symphony.
Audit
The audit committee had their final meeting with the auditor for the 2006-2007 fiscal year. We had a clean audit, and the documents were submitted on time to the IRS.
The finance and audit committees met together last week to review the audit and discuss some of the data and information in it. There is a significant item that the board has already discussed at board meetings: We used much of the board designated endowment during the ED transition. As you know, there has been very little fund raising done by the board since January of 2006. This fiscal year so far we have had some large donations come in due to Sally’s efforts, we received a new grant also due to Sally’s efforts, and significant donations came from the Friends. We will also be receiving the donations from the annual appeal.
However, I have told you at each board meeting that we need to have fund raising input from board members. Each of us know people who 1) are able to give significant amounts to the BJS, or 2) are associated with companies that we should contact for corporate donations. If people have not come to mind already, start thinking outside of the box. There are many people in our communities who need to hear about our mission and how we are encouraging new audience members of all ages. Sally needs you to introduce her to these people.
BJS Office number: 313-1200
Sally’s home phone number is 362-8168,
Sally’s cell number is 608-302-5751
If you do not feel comfortable asking people for money, do not be concerned about that. Sally and I had a meeting with a corporation representative last week and she handled it all. I said very little. It was actually fun!
After this fiscal year, we should be able to build up the board designated endowment with some of this type of fundraising.
Messiah
The chorus is rehearsing, the orchestra is tuning up, and we will have a marvelous performance on the weekend of December 15 and 16. See you there! (And tickets to this event are a perfect seasonal gift for friends and family.)
Friends' Poinsettia Sale
The poinsettia and amaryllis sale has gone very well. An organization in Beloit, which has done a similar sale for many years, did not do one this year. The Friends picked up many of the orders that have traditionally gone to that organization. The receipts are well ahead of last year.
This is another reminder of all that the Friends do for the BJS. They do an outstanding job! Thank you!
Website
You notice that the password has changed for access to the Board members only page. It became evident that it would be easiest to keep this secure if we do not use a musical term as the password. So go ”fish”!
Mikado
At each staff meeting I hear bits and pieces of the preparations for The Mikado. We have a great team working on it, and this is going to be a fun, memorable evening. Tickets to the Mikado are a perfect stocking stuffer – and an answer to the question, “But they have everything, what can we give them?” Thanks to Steve K for the raffle items he is contributing. Have you purchased your tickets yet?
Next Meeting
The next meeting is on January 9, 2008,
Remember that it starts at 4 pm.
Location to be announced.
Have a wonderful holiday season and a happy new year!
Susan
